Commission terms
Plain-English terms for commissioning a piece. These apply from the moment you book.

1. What you’re commissioning
A Memory Portrait is a one-of-a-kind artwork I draw for you by hand, weaving together roughly 30–50 moments you share with me. Every piece is drawn from scratch, so no two are alike, and the finished work will be my own interpretation of your memories rather than an exact reproduction of any photograph.
You’ll receive:
- An A3 fine-art print of your finished piece (297 × 420 mm), unframed.
- Delivery to any New Zealand address, included in the price. Overseas, a flat NZ$45 toward postage (see section 2).
- One round of revisions (see section 5).
I draw by hand digitally, so there is no separate physical original — the print you receive is the artwork. Larger sizes, framing, and bespoke works are quoted separately — email ashleighdoodles@gmail.com and I’ll talk you through the options.
2. Booking and payment
I take 2 commissions a month at $550 NZD, plus a single premium slot at $825 NZD which opens only once that month’s regular slots are taken.
Payment is made in full at the time of booking, through Stripe. Your slot is only secured once payment completes — until then the month stays available to others. Prices are in New Zealand dollars, include GST where applicable, and include delivery to a New Zealand address.
You’ll be asked for your delivery address at checkout, and to choose whether you’re in New Zealand or overseas. I post worldwide. Delivery within New Zealand is included; anywhere else is a flat NZ$45 added at checkout as a contribution toward postage. It’s a single rate for every country rather than the exact cost of your parcel, so on the longer routes it’s less than I actually pay.
Please pick the option that matches your address. If the two don’t agree I’ll email you and we’ll sort it out before anything is printed — I won’t quietly cancel your booking over it.
Import duty, tax, and customs charges are yours. Some countries charge duty, VAT, or a handling fee when a parcel arrives from New Zealand. Those are set by your country, not by me. I can’t quote them, I don’t receive them, and I can’t refund them.
Very occasionally a destination turns out to be one I can’t post to safely, or one that costs far more than the flat rate. If that happens I’ll contact you before printing, and if we can’t agree on a way forward you’ll receive a full refund — including the NZ$100.
3. Notice period and turnaround
I need at least 2 weeks’ notice to start a piece, and ideally 4. The month you book is the month I start drawing, not the month I finish.
Most pieces are completed within a few weeks of starting, plus printing and postage time. If anything is likely to run late, I’ll tell you as soon as I know. If you have a hard deadline — a birthday, an anniversary, a memorial — say so before you book so I can confirm it’s achievable.
4. Cancellation and refunds
If you cancel before I start work, you’ll be refunded what you paid less the NZ$100 non-refundable amount, and less any payment processing fees that can’t be recovered.
Once I’ve started drawing, the full amount is non-refundable, because the work has been done and the slot can no longer be offered to anyone else.
Overseas postage is the exception, and it’s always refunded in full if your piece hasn’t been posted — whenever you cancel, and regardless of anything above. I haven’t spent it, so I don’t keep it.
If I have to cancel — illness, or anything else that stops me delivering — you’ll receive a full refund, including the NZ$100.
Nothing in this section affects your rights under the Consumer Guarantees Act (see section 10).
5. Revisions
Your commission includes one round of revisions after you see the first draft, before your piece goes to print. That round covers corrections and adjustments — a memory drawn wrong, a detail missed, something in the wrong place. It doesn’t cover starting again with a different concept or composition.
Further revisions, or a change of direction after the first round, can be quoted as additional work.
6. Copyright and how you can use the artwork
I retain copyright in every piece I draw. When you commission a work, you own the print I send you — display it at home, keep it, or give it as a gift. If you’d like extra prints of your piece, ask me and I’ll quote them.
You may not, without my written permission:
- Resell the artwork, or reproduce it and sell or licence the copies.
- Reproduce it on products for sale, or use it commercially or to promote a business.
- Alter the artwork and present the result as my work.
Commercial use is available — it just needs to be agreed and quoted up front.
7. Showing the work
I may photograph finished pieces and show them in my portfolio, on this website, and on social media. If you’d rather your piece stayed private — it’s a surprise, or it’s personal — just tell me before delivery and I won’t share it. There’s no cost either way.
8. Your memories and your privacy
To draw your piece, I need the details you share: the moments, names, places, and photographs behind them. I use them only to make your artwork.
- Your memories and photographs are never sold, published, or shared with anyone else.
- They’re kept only as long as needed to complete and support your commission.
- If I show the finished piece (section 7), I won’t publish the written memories behind it or identify anyone in them without asking you first.
- You can ask me to delete the material you sent once your piece is delivered — email ashleighdoodles@gmail.com.
Payment is handled entirely by Stripe. I never see or store your card number. Your delivery address is collected by Stripe at checkout and I use it only to post your print.
9. Briefs I may decline
I may decline a commission, and will refund you in full if I do. That includes briefs that are hateful or discriminatory, that use someone else’s copyrighted work, that involve a person who hasn’t consented to being drawn, or that simply aren’t a fit for my hand-drawn ink style.
10. Your consumer rights
These terms don’t limit your rights under the New Zealand Consumer Guarantees Act 1993 or the Fair Trading Act 1986. If the work isn’t delivered, or isn’t of acceptable quality, you keep every remedy those Acts give you regardless of anything above.
11. Changes and getting in touch
These terms may be updated from time to time. The version that applies to your commission is the one published on the day you booked.
